Partner terms and conditions
These terms apply to all professionals, organisations and individuals listing on the Hackit Design platform.
1. Listing on the platform
Listing on the Hackit Design platform is free. There is no subscription fee and no time limit on your free listing.
All professionals must complete mandatory training courses before their profile can be approved. These courses cover PAS standards, emotional safety in the built environment, biophilic design and safeguarding.
Training courses are priced at £99 per course for freelancers and sole traders, and £199 to £379 per course for organisations. Four mandatory courses are required.
The four mandatory courses are
1. PAS Standards
Covers PAS 6463, the UK standard for sensory and neurological needs in the built environment, including sensory dynamics, visual contrast, wayfinding and restorative spaces.
2. Emotional Safety in the Built Environment
Covers how design choices affect emotional wellbeing, stress responses and feelings of safety, with practical approaches to creating calm, empowering spaces.
3. Biophilic Design
Covers the use of natural elements in design including natural light, ventilation, plants and organic materials, and the evidence base for their impact on health and wellbeing.
4. Safeguarding
Covers responsibilities when working with vulnerable adults and children, including recognising abuse, legal frameworks, professional boundaries and reporting.
2. Vetting and verification
All partners must pass our vetting process before being listed. This includes verification of qualifications, insurance, DBS status and professional memberships.
Hackit Design reserves the right to suspend or remove any listing that does not meet our standards for safety, accessibility and inclusive design.
3. Commission and fees
Hackit Design takes a commission on work secured through the platform. This covers platform running costs, vetting, matching and ongoing support.
Training course fees are separate from the commission and must be paid before profile approval.
The full commission rate and structure will be confirmed in the terms and conditions you sign when you set up your account. 4. Code of conduct
All partners must adhere to the Hackit Design code of conduct. This includes treating all clients with dignity and respect, communicating clearly, working at a pace the client sets and never applying pressure or creating urgency.
Partners must work in a way that is trauma informed, inclusive and accessible. They must respect the client's right to stop, pause or change the scope at any time.
5. Data and privacy
Hackit Design complies with UK GDPR. Partner data is stored securely and used only for the purposes of the professional listing.

6. Account creation and approval
When you apply to join the Hackit Design Hub, we will review your application, verify your credentials and conduct safeguarding checks. You will be notified of approval or rejection within 14 days.
Once approved, you can create an account and access the partner portal. Your account is personal to you and you are responsible for keeping your login credentials secure.
7. Profile information and directory listing
Your profile will be visible in our vetted professional directory only after approval. You can update your profile information at any time.
If you request changes to your directory listing, for example to remove your profile, we will action this within 5 working days.
8. Documents and communications
When we generate contracts or letters for your partnership, we use information from your profile to personalise these documents. You will be sent a preview before we send the final version to any third party.
All documents are stored securely and are only visible to you and authorised Hackit Design team members. You can download or request copies of documents at any time.
9. Email communications
We will send you automated emails about your account, tasks, documents and communications. You can manage your email preferences in your account settings.
However, we will always send critical communications about your account and safeguarding concerns.
10. Data and confidentiality
All information you share through the portal is confidential and is only used for the purposes of your partnership with Hackit Design.
We do not share your data with third parties without your consent, except where required by law or safeguarding concerns.
11. Termination of partnership
Either party can terminate the partnership by providing 30 days written notice.
Upon termination, your account will be deactivated and your profile will be removed from the directory. You will retain access to documents related to your partnership for 7 years.
12. Liability and indemnity
Hackit Design is not liable for any indirect, incidental or consequential loss arising from your use of the platform or your partnership with us.
You agree to indemnify Hackit Design against any claims, losses or damages arising from your breach of these terms or your conduct on the platform.
Our total liability under these terms shall not exceed the total fees paid by you to Hackit Design in the 12 months preceding the claim.
